Multi-location phone routing

One number and one next step is a Phone build. The moment a call has to choose among locations, teams, or kinds of emergency, you are designing routing, not a greeting. That work is real, and it is the wrong place to start if the single path is not written down yet.

What a path is

A path is the route from the caller's first sentence to a specific outcome. "Book an approved estimate on this calendar and text this owner" is one path. "Maintenance for building A goes to this queue, leasing goes to that calendar, and a gas smell attempts this on-call phone" is several paths. They need different facts, different destinations, and different failure rules.

A longer prompt is not several paths. If the assistant has nowhere to send the second kind of call, it will improvise. Improvising is the failure described in why an AI receptionist didn't work.

When Phone is enough

How to avoid buying the large version first

Write one path completely. Name the facts, the approved answers, the booking rule, and the person who receives exceptions. Run it until a coworker who did not design it can tell whether a call followed the rule. Then add the second path. Organizations that start with every location on day one usually discover they never agreed what "urgent" means at location two.
