The 30 minutes break one role into tasks, classify what stays human or uses AI, map useful handoffs, and name a result worth measuring. The call is a working session, not a general product tour, and the aim is to reach a decision about one bounded piece of work.
We name the trigger, information, decisions, actions, systems, and recipient for the work you brought. This replaces a broad title such as office manager or dispatcher with the tasks that actually consume attention during an ordinary week.
Each task is marked keep-human, AI-assist, or automate. The classification considers judgment, accountability, source quality, reviewability, and the cost of a wrong answer—not only whether a tool appears capable of producing something.
We sketch the trigger, automated action, human checkpoint, destination, and exception path. Sometimes that reveals a useful build. Sometimes it shows that a shorter form, clearer ownership, or a removed duplicate step would solve the problem more safely.
A go decision needs an operating measure such as response time, complete intake, scheduled work, hours returned, fewer corrections, or cleaner handoffs. Without a baseline and a review point, automation can look active while quietly creating cleanup elsewhere.
A written no-go records why the workflow should stay as it is for now or what condition would need to change before a build makes sense. The source information may be inconsistent. Exceptions may outnumber the normal path. The person doing the work may already solve it faster than a system could. The risk of a wrong action may require direct professional judgment. Or the expected time returned may not justify setup and maintenance.
That decision is useful because it stops a tool purchase from becoming the strategy. You can return to the workflow later if volume, staffing, systems, or source data changes. Until then, the boundary is explicit: this work remains human, and the organization knows why.
The written outcome names the role, the current sequence, the candidate tasks, the human boundary, the system or information involved, and the operating result to watch. It does not promise a broad transformation or prescribe a package before the work is understood. If a build is recommended, the quote describes that bounded path and the ordinary exceptions that must be tested before launch.

Rough numbers help if you have them—calls, hours, delays, corrections, or job value—but nothing needs preparing. A real example from an ordinary week is more useful than a polished process document.
You get the go or no-go either way, along with the reasoning behind it. If the answer is go, the next step is a fixed quote, a defined scope, and an agreed timeline. If the answer is no, you can use that decision immediately.
